Secret Santa Email Template: Invite, Remind, Reveal
Choose an invitation, sign-up reminder, private draw link or exchange message. Add your details, pick email or chat, then copy the wording. You choose the recipients and send it yourself.

Secret Santa Invitation Wording
An invitation needs the budget, exchange date, location, sign-up deadline and a way to reply. Say that joining is optional before asking for names. Here is an original template you can use for coworkers, friends or a family group:
Hi everyone,
We're organizing a Secret Santa for [group name]. Taking part is optional. If you'd like to join, reply to [organizer] by [sign-up deadline].
Gift budget: [budget]. We'll exchange gifts on [date] at [place and time]. After sign-up closes, each person will get their match privately. Please keep your match secret until the exchange.
Questions? Message [organizer] privately. It's fine to sit this one out.
For WhatsApp, Slack or Teams, the same facts fit in a group message. Select the chat format above to leave off the email greeting and sign-off. With a WhatsApp draw, the group receives the invitation, while each participant receives their draw link in a separate chat.
Secret Santa Email to Employees
Send one invitation to the team, then send reminders only to the people who need them. An office announcement should make declining easy: a private reply is better than calling on everyone in a meeting. Keep the same budget for managers and other colleagues.
Make the exchange workable for people outside the main office. Give the call time with a time zone, agree who covers postage, and tell remote participants where to send their gifts privately. Do not collect home addresses in an all-staff reply thread or on a public sign-up sheet.
The coworker questionnaire gives gift buyers somewhere to start. Share preferences in a way participants agree to; anything personal can go to the organizer privately. The invitation can ask people to complete it after they opt in.

Keep recipient names and matches out of the subject: email notifications may show it on a locked screen. A playful line is fine in the body, but the subject should still identify the event and its next deadline.
Secret Santa Name Reveal Email Template
A draw notification and a reveal at the gift exchange are different messages. Before shopping, tell each participant privately whom they are buying for. At the exchange, invite the giver to reveal themselves after their gift is opened.
For the first message, choose Private draw link (one person). Replace both placeholders: the participant's name and that person's complete link. Send it to that person alone. The generator's own Email button already fills this message with the correct link, so it is the simpler option when you have the draw open.
Hi [participant name], here is your own Secret Santa link: [paste this person's private link]. Open it privately to see who you're buying for. Keep the link and your match to yourself.
For the end of the game, choose Reveal at the exchange. It describes opening each gift, guessing the Santa and letting the giver speak up. Neither template needs a group list of the matches.
Secret Santa Reminder Email
Choose the reminder that matches the stage. Before the draw, remind people of the sign-up deadline. After the draw, remind participants of the gift budget, exchange date and where to leave gifts. Avoid putting someone else's match in either message.
A quick reminder: sign-up for [group]'s Secret Santa closes on [deadline]. Reply to [organizer] if you'd like to join. No need to explain if you're sitting it out.
A gift reminder can say: “Our exchange is on [date] at [place and time]. Bring your gift wrapped, with the recipient's name on the tag and your name left off. Message [organizer] privately if your gift may be late.” For mailed gifts, agree a separate send-by date after checking the carrier; the exchange date alone is not a delivery promise.
If someone drops out or loses a link, follow the draw and link recovery walkthrough before sending a new message. A changed draw means new links for everyone, so say clearly which message replaces the old one.
